What emails are sent to team members to manage their job descriptions?

Emails are sent to team members on a regular basis, enabling you to communicate more easily with your team and keep them regularly informed of any news that concerns them.

Introduction :

Backyou sends emails to your clients, staff and yourself throughout the booking process. Their purpose is to ensure that all parties have the information they need at the right time. The emails can be triggered by an action from you or your client. It can also be triggered after a delay, a period of significant inactivity or late payment, for example, without any intervention on your part. In many situations, you have the option of not notifying the client, or of personalising the email. So it's vital to have some knowledge of these emails.

 

Mandatory: An email is mandatory if you have no way of preventing it from being sent, either from the settings or from each file with the “Shared with team members” option.

Modifiable: An email is modifiable if you have the option of adding content to it, either from the settings or from each file by adding text or a template directly.

Automatic: An email is automatic if its sending does not depend on any action on your part. An email sent after a client action or delay is automatic.

A BEO is no longer shared

Non-modifiable and mandatory.  
Sent to : team member (all team members who were concerned by the BEO)

Subject : _CLIENT_ : a BEO  is no longer shared

The BEO  for _CLIENT_ is no longer shared with you.

The event will take place from _CHECKIN_ to _CHECKOUT_.
This email is sent to the team member(s) with whom the BEO was shared when it is no longer shared.

 

 

Adding a member to a BEO

Modifiable and optional.  
Sent to : team member (the one added to the BEO)

Subject : _CLIENT_: you have been added to a BEO 

You have been added to the BEO  of _CLIENT_.

This event will take place from _CHECKIN_ to _CHECKOUT_.

This email is sent to the member(s) you add to a shared BEO for team members.

 

 

Remove a member from a BEO

Non-modifiable and mandatory  

Sent to : team member (the one who has been removed from the BEO )

Subject : _CLIENT_ : you have been removed from a BEO

You have been removed from the _CLIENT_ BEO .

This email is sent to the team member(s) removed from a BEO shared with the team members.

 

 

Event removed from a BEO

 Non-modifiable and optional.   

Sent to : team member (concerned by the event)

Subject : _CLIENT_ : event deleted

You have been removed from an event on the BEO of the _CLIENT_

This BEO relates to a stay at _HOTEL_ from _CHECKIN_ to _CHECKOUT_       

This email is sent to the member(s) of the staff affected by the event removed when the BEO is shared with the team members and you delete an event.

 

 

Modifying a BEO

Modifiable and optional.

 

Sent to : team member those concerned by the BEO (event or product)

Subject : _CLIENT_ : a BEO has been modified

Modified BEO  for _CLIENT_

This BEO relates to a stay from _CHECKIN_ to _CHECKOUT_

This email is sent to the team member(s) present in the BEO (if it is shared with the team members and if you check the box "inform the team members").

 

 

Simultaneous sharing of multiple BEOs

Modifiable and optional.      

 

Sent to : team members (those who are concerned with multiple BEOs in shared ones)

 This email is sent to the members of the staff concerned by several BEOs when you perform a group action on some of them.
